How much does an AI automation agency cost

Search this question and you get a mess. One page says 5,000 EUR a month. Another says you can do it yourself for the price of a SaaS subscription. A third is really a course teaching you how to start your own AI automation agency. None of them tell a small business owner what they will actually pay. So here is a straight answer. For a real small business, working with an AI automation agency to set up things like an AI receptionist, a website chatbot or missed call text back usually costs a monthly care plan somewhere between 29 and 349 EUR, plus a setup fee in some cases. That is the honest range for the work most local businesses need. The rest of this explains what moves you up or down that scale.

01

What you are actually paying for

An AI automation agency sells one thing: the outcome, set up for you, kept running. You are not buying software. You are buying the fact that you do nothing and the phone still gets answered.

That breaks into two costs.

Setup is the one-off work of building the automation around your business: teaching the AI your services and prices, connecting it to your calendar and phone, writing the messages in your voice, testing it against real questions. Depending on scope this is either folded into the first months or charged as a setup fee.

The monthly care plan is what keeps it alive: the running costs, the tweaks as your business changes, fixing anything that breaks, and the monthly report that tells you what it did. This is the 29 to 349 EUR range. A single automation for a one-person trade sits low. A clinic running an AI that answers and books, plus chat, plus follow-up and reporting, sits higher.

02

What moves the price

A few concrete things decide where you land.

How many automations. One thing, like missed call text back, is cheap. A stack of receptionist plus chatbot plus review responses plus monthly reports costs more because there is more running and more to maintain.

Call and message volume. A quiet trade taking a handful of enquiries a day costs less to run than a busy salon fielding a hundred. The AI usage scales with how much work it does.

How much it connects to. Answering a question is simple. Booking into your live calendar, writing to your CRM, and texting you the details all mean more integration, which costs a bit more.

How custom the setup is. A standard receptionist off a known playbook is faster to build than something wired into an unusual booking system. Custom takes more setup time.

Language and data rules. If you need it working in two languages, or you need EU data handling done properly, that is part of a serious setup and part of the price. It should not be an afterthought.

03

Why the internet numbers are so wide

The reason you see 5,000 EUR and 49 EUR on the same search is that they are describing different buyers.

The high numbers are usually agencies selling to bigger companies with complex, bespoke builds and account managers. That is real work, but it is not priced for a plumber or a café.

The low numbers are DIY SaaS tools. You pay a small monthly fee, and then you do all the setup yourself: the prompts, the connections, the testing, the fixing when it breaks. The tool is cheap. Your time is not. Most owners try, get halfway, and quietly give up.

A done-for-you agency plan sits in the middle on purpose. You get the outcome without the SaaS learning curve and without the enterprise invoice.

04

How to tell if it pays back

Ignore the sticker price for a second and do the simpler sum.

Take one thing the automation saves. A recovered enquiry. A booking that would have gone to a competitor. A no-show avoided. Put a rough value on it. Then ask how many of those a month it takes to cover the plan.

For most local businesses the answer is one or two. A trade whose average job is worth 150 EUR covers a mid-range plan by saving a single lost call. A salon covers it by holding onto a couple of bookings. If a plan cannot clear that low bar for your business, it is the wrong plan and you should not buy it.

That is the test. Not "is it cheap," but "does one month of it pay for itself." A good agency will run that maths with you honestly, including telling you when the answer is no.

05

What to check before you sign

Ask what the monthly fee covers and what is extra. Ask where your customer data lives and whether it meets EU and UK rules. Ask what happens when something breaks and who fixes it. Ask to see the maths on payback for your specific business, not a case study about someone else's.

If you want that maths done before you commit to anything, send us your store or site and within 48 hours you get a short human report on which automations would actually pay back for you and roughly what they would cost. No pitch.

The real cost of an AI automation agency is not the number on the invoice. It is that number minus the work you stop losing. For most small businesses, once you run it, the plan costs less than the enquiries it saves.
